BEA2005 Detailed Deadlines

1. August 6, 2004 - Deadline
a. for Submission of Convention Panel Sessions/Demonstrations/Workshops Proposals
b. to the BEA Interest Division Chairs
c. from BEA members and Interested proposers.

2. September 3, 2004 - Deadline
a. for Submission of prioritized Panel/Demonstration/Workshop, TDR/Festival proposals
b. to the BEA Convention Program Chair
c. from the BEA Interest Division Chairs.

 

(i. This September deadline provides the Convention Program Chair the time that he needs to complete the "Proposed 2005 Convention Program" and submit it to the BEA board of directors for their review, comment/changes, and approval 2 weeks prior to the October board of directors meeting.
(ii. The October BEA board meeting date is set during the summer by the BEA board of directors for some time in October, based on the exigencies of the or federal or religious holidays/holydays in that month, and the professional professorial or industry schedules of the board members. It could be held the 1st weekend in October or the last weekend in October.)

3. October __, 2004
a. Convention Program Chair Presents Proposed Convention Program
b. to the BEA Board of Directors at their Fall, 2005 Board Meeting
c. for Comment and Approval.

4. November 5, 2004 - Deadline for Convention Program Chair to notify, by written correspondence, the BEA Interest Division Chairs on the acceptance and non-acceptance of all panel proposals and other proposals for convention that were sent to him by the August 6, 2004 deadline.

5. November 12, 2004 - Deadline for the Interest Division Chairs to Notify, by written correspondence all Proposers of Panels, and other proposals for convention of their acceptance or non-acceptance.

6. December 1, 2004 - Deadline
a. for Submission of Competitive Papers
b. to All BEA Interest Division/or Interest Division Paper Chairs
c. from Paper Authors.

7. December 10, 2004 - Deadline for the 3rd Annual BEA Festival of Media Arts, entry paperwork, entry product to be judged, and entry fee payments to be paid.

 8. December 10, 2004 - Deadline
a. for all Interest Division Chairs or designated division leader
b. to give the Convention Program Chair:

 

i. All the Names of, and the Number of, Panelists/Moderators/Respondents and Final Program Copy for All Sessions, Workshops, TDR, Demonstrations, Workshops, etc., Abstracts/Synopsis

ii. All Panel/Meeting/Exhibition/TDR Session 'Room Set-Up' Orders on Form
(Theatre style is the default set-up, All other set -up such as Technology Demonstration Room(TDR), TDR Demonstration sessions, Regular BEA Exhibits, Workshops, Scholar-to Scholar, etc., set-up must be requested in detail)

iii. All Non-'Standard Set-Up' Audio-Visual Orders for sessions on Form for sessions/meetings/exhibits/TDR BEA Exhibitors Orders: for 'space set-up', telecommunications(phone, IP/internet, computers, outside equipment 'sponsored' loaners)
(BEA Convention 'Standard Set-Up' is: Audio Cassette/Audio CD, and VHS playback, LCD projector with PC and MAC connections, monitors/video projection screen and speakers to accompany equipment listed.)

iv. All Signage and Logos: for All Panel Sessions, Interest Division Business Meetings, Competitive Workshops, Interest Division Chairs meeting, Demonstrations, Exhibits, TDR, etc.

v. All Food & Beverage Orders for All Sessions/ Division Business Meetings/Exhibits/TDR, etc. (with BEA/NAB convention order and payment form from Interest Division or requesting party).


9. December 17, 2004
- Deadline
a. for Convention Program Chair
b. to deliver the organized data from the December 10 deadline
c. to the BEA Office
d. for input into the NAB Convention Scheduler by January 7, 2005

10. January 7, 2005 - Deadline
a. from the NAB
b. for the BEA Office to have the DATA ENTRY COMPLETED AND
INTO THE NAB CONVENTION SOFTWARE PROGRAM for the following items:
1. All Session Room Set-Up Orders
2. All Audio-Visual Orders
3. All Food & Beverage Orders
4. All BEA Exhibitor Orders
5. All TDR Orders
6. All Signage for Convention

11. January 14, 2005 - Deadline
a. for the Convention Program Chair
b. to Send any last minute changes in Names of Moderators, Panelists, and Respondents for Sessions
c. to BEA Office.

12. February 4, 2005 - Deadline
a. for Submission of Names/Affiliations/Content titles
b. of Convention Paper, Workshop/Demonstration/TDR/BEA Festival, Scriptwriting and Interactive Multimedia winners forwarded
c. to Convention Program Chair (including names for research in progress session).

13. February 4, 2005 - Deadline
a. for Interest Divisions
b. to Notify Paper, Scriptwriting and Interactive Multimedia Competition Authors Regarding Status of Their Submissions

14. February 4, 2005 - Deadline
a. for BEA Festival Chairs
b. to Notify BEA Festival Entrys Regarding Status of Their Submissions

15. February 4, 2005 - Deadline for
a. Interest Divisions Chairs to Submit Names of chosen Scholar-to-Scholar papers authors
b. to the Scholar-To-Scholar-Coordinator (BEA 2006 Convention Program Chair)
c. for Consideration for Exhibition and Discussion at Convention.

16. February 11, 2005 -Deadline
a. for the Convention Program Chair
b. to send (or ensure being sent by respective Interest Divisions and/or festival coordinators) Winners of ALL Competitions (paper, Workshop/Demonstration/ TDR/BEA Festival, Scriptwriting and Interactive Multimedia, including names for research in progress session), excluding Scholar-To-Scholar
c. to BEA Office

 17. February 11, 2005 -Deadline
a. for Scholar-To-Scholar Coordinator/2006 Convention Program Chair-Select
b. to Notify Interest Divisions and Scholar-to-Scholar Participants of Their Submissions Acceptance and Invitation to present at STS session.

18. February 11, 2005 - Deadline
a. for Scholar-To-Scholar Coordinator
b. to Submit Names of Those Chosen to Exhibit and Discuss their STS paper
c. to Convention Program Chair

19. February 16, 2005 - Deadline for
a. All BEA Convention Program Session and Workshop, STS, TDR, Demonstration 'Copy and Logos'
b. to the Printer/Graphics Sub-Contactor. in electronic format & hard copy, specified format

20. February 25, 2005 - Deadline
a. for All BEA Convention Advertising 'Copy and Logos' due
b. to the Graphics Sub-contractor,

21. February 25 – April 5, 2005 - Deadline for
BEA Internal Office - Printer deadlines for Proofs/Blue Lines/ Printing and Binding/Delivery to BEA for shipping on truck to Las Vegas .
