EXHIBITOR BADGE CREDENTIALS
Exhibitors must contact BEA with the names of their representatives
by March 1, 2003 (COB) so that name badges can be made. All badges
will be MAILED to BEA exhibitors on-site - in advance of the conveniton.
Any changes, additions for badges that are received after March
14, 2003 can be taken care of on-site in Las Vegas. Please communicate
this to your representatives.
SHIPPING MATERIALS TO
AND FROM BEA 2003 Convention
As thousands of boxes are shipped to the LVCC for the NAB convention,
we have taken steps to assure your boxes arrive in the proper
location on time. Please follow these directions carefully. Exhibitors
must send their materials to the following full address, in this
exact format, as a label on bright yellow paper, with the appropriate
room number for each area in the LVCC for their TDR or Exhibit
room and space allocation.
Use this label format for
delivery on, or after March 31, 2003, but by April 1, 2003.

2. Please keep a record of your
tracking/shipping numbers. It will help us assist you in locating
any missing packages.
3. Boxes must be shipped to arrive
between March 31 and April 2 ONLY. Please do not ship your boxes
to arrive before March 31 or after April 2
4. If you are an NAB exhibitor,
please do not send your BEA exhibit materials to your NAB booth.
There may be various problems in accessing your materials before
the NAB convention opens. If you do ship your materials with your
NAB materials, please note that it will be your responsibility
to coordinate and track your packages.
5. We highly recommend using the
Las Vegas Convention Center (LVCC) Business Center (USA HOSTS)
to ship your materials home. It is recommended that you contact
a "USA Host" rep. during the convention who will be
able to assist you with your shipping needs.
6. Please check with USA Hosts to
make sure that your carrier service is able to pick-up from the
convention center. Due to certain LVCC contracts, some carrier
services are unable to pick up from the convention center. USA
Hosts may be reached at: 702-735-1963.
7. You may also request GES Exposition
Services (GES) to help you transport your boxes/materials to the
NAB Floor.

EXHIBIT SET-UP & BREAKDOWN
INFORMATION & POLICIES
Set-Up
Your representatives are responsible for their own unpacking and
setting up.
BEA is not responsible for any boxes that do not arrive and will
not refund any exhibit fees. BEA is not responsible for materials
that are improperly addressed. All exhibitor packages will be
shipped directly to the BEA Exhibition Room.
Rules and Regulations for
the Exhibit Hall:
NO carpeting may be installed on top of the existing carpet;
NO handcarts or anything with wheels is to be used on the floors;
NO signs/banners may be hung from the walls. All signs/banners
must be hung from the booth.
Badges: BEA Convention
Badges will be mailed to representatives.
Breakdown:
Breakdown will take place from 4:30 pm to 6:00 pm on Saturday
evening. Any materials remaining after 6:30 PM become property
of BEA. BEA will not ship materials that are left behind. BEA
is not responsible for loss or disappearance of materials once
they have been delivered to exhibit areas. Leaving materials unattended
is done at the risk of the exhibitor. A NAB Career Fair will be
setting up at 6:00 PM in the BEA Exhibition Rooms so prompt breakdown
of the BEA Exhibits is very much appreciated.

HOTEL INFORMATION
BEA invites all vendors to make their hotel reservations through
the NAB housing reservation bureau - Expovision. BEA does not
have a separate block of rooms set aside for the BEA Convention,
so we recommend that you contact Expovision as early as possible
to guarantee the hotel of your choice for your representatives.

CANCELLATION
POLICY
In the event that an exhibitor is forced to cancel its exhibit
space before December 31, 2002 after space allotment and payment,
half of the initial payment will be returned. If cancellation
occurs after December 31, 2002 no money will be returned.
LIABILITY
BEA is not responsible for loss or damage due to fire, theft,
windstorm, water, vandalism, acts of God, mysterious disappearance
or other causes beyond its control. BEA is not liable to any extent
whatsoever for any actual, potential or assumed loss of profits
or revenues, which may result from any loss or damage to materials,
which may make it impossible or impractical to exhibit. The delivery
of a shipment to BEA or the BEA exhibit area shall be construed
as an acceptance by the vendor and/or shipper of these terms and
conditions.
